Long-term goals for digital asset management

  • Have the capacity to search, find, and preview all digital assets from all time by subject, keyword, shoot, and date.
  • Require standard classifications as well as allowing user-generated keywords.
  • Maintain original organization and context of all digital assets.
  • Recommend a robust, dependable, and well-supported system, including upgrades.
  • Support Bates and industry standards, including metadata exchange.
  • Access external sources of originals and chronological snapshots, to be stored in Special Collections.

  • [Track the relationships between derivatives; i.e., multiple versions of original assets, created for print. (5/15/07)]

Options for current system

  1. Maintain current process, and/or:
  2. Change process for assets not yet ingested, and/or:

Possible objectives for current system – phase 2 (starting with 2004 assets):

  • Ingest batches of assets, applying subject hierarchy and keywords.
  • Conduct searches.
  • Move older assets into near storage peiodically while maintaining searchability.

Budget costs

  • Catalog of more than 250,000 images can be supported with SQL Connect (add-on to server software).
  • Staff time required to implement distributed workflow for applying authority list.
  • Cost for reorganizing assets by chronology.
